Organize an event

Workflow example

Never miss a step again!

The process objective: Plan events and secure their planning.

From organizing a wedding to a fondue party, from the next seminar to managing regional projects, the success of an event depends largely on how it’s organized.

Before digitization

Let’s take a customer in charge of organizing numerous events throughout the year with around fifty different project holders.
Before using Iterop, the organization of events was entirely managed by email. There were many exchanges and back and forths between the marketing department and service providers. Each step was recorded in a huge Excel file that employees had to exchange on a regular basis. It was impossible to get a clear and quick view of the current or future steps. Combined with this, the risk of forgetting a step was high.

Benefits

  • For project holders: The request process is simpler, the tracking is accurate, and each delivery is associated with an acknowledgment of receipt email.
  • For the event team: The procedure is standardized with dynamic checklists associated with each type of event. Tracking is done in real time and each employee can communicate on the status of the file.

What does the process consist of?
A project holder makes a request to organize an event. The request must then be validated by the marketing department, which can then make a request for further information. The consultation stage consists of filling in the date of the event and the dates to send the email campaigns, with reminders configured in Iterop. The schedule is updated automatically with the Google Calendar login.
All project monitoring is done in Iterop through checklists to facilitate the organization of the event.

Process leader: marketing manager
Process initiator: all identified project holders (internal departments, stakeholders, suppliers etc.)
